For UAE rental offices

One system for the office, and for its books

PropertyDesk runs the whole rental operation — landlords, buildings, units, tenants, contracts, post-dated cheques, commissions, maintenance and legal cases — on top of a real double-entry ledger with UAE VAT invoicing built in. Every screen, report and PDF works in English and Arabic.

What it covers

Six areas most offices currently run across spreadsheets, WhatsApp threads, paper files and a separate accounting package.

  • Operations

    Contracts and post-dated cheques

Contracts expire on their own, renewals warn you at 90, 60, 30 and 7 days, and every cheque is tracked from received to cleared, bounced or replaced. Enter a start date, an annual rent and a number of cheques, and the whole schedule writes itself.

  • Finance

    Accounting and VAT

A genuine double-entry ledger — 31 accounts, 32 voucher templates, eight reports, period locking, an audit log that cannot be edited. Rent credits the landlord, not your income, which is the treatment a UAE agency actually needs.

  • Landlord retention

    Reporting and the landlord portal

Every landlord gets a white-label statement by email on the first of the month, in their own language. They can also sign in to a read-only portal with an emailed link — no password — and answer their own questions.

  • Paperwork

    The official tenancy contract

PropertyDesk fills the real Dubai Land Department Unified Tenancy Contract from your own records and hands you the PDF ready to print and sign. Nobody retypes a tenant's details into a government form again.

  • Governance

    Approvals before sensitive changes

Write the rule in plain language — "when staff change a landlord's IBAN, the manager approves it." The change is held as a before-and-after comparison instead of being saved, and the record locks until someone decides.

  • Property care

    Maintenance, costs and contractors

Tickets from request to closure, a vendor directory, quoted against approved against final cost, and a decision on who pays — landlord, tenant, split or the office. One screen shows exactly what you still owe contractors.

Going live

Most offices are working in PropertyDesk the day after they decide to move.

  1. 01

    Send us your spreadsheets

Whatever shape they are in. Six bulk importers cover landlords, buildings, units, tenants, contracts and cheques, and on the Expansion Programme we do the migration ourselves.

  2. 02

Check the numbers against what you know

Occupancy, cheques due, contracts expiring, what each landlord is owed. If a figure disagrees with your own records, we find out why before you go further.

  3. 03

Turn on only what you need

Accounting, maintenance, legal cases, approvals and the landlord portal each switch on separately. An office that only wants contracts and cheques never sees the rest.

  4. 04

    Let the alerts start working

From the first day, expiring contracts, cheques due tomorrow and bounced cheques surface on their own, and landlords start receiving their monthly statement automatically.

Common questions

What exactly is PropertyDesk?

A cloud-based property management and accounting system built specifically for rental offices and property management companies in the United Arab Emirates. It handles landlords, buildings, units, tenants, contracts, post-dated cheques, commissions, VAT invoicing, maintenance, legal cases and a full double-entry ledger, with every screen available in English and Arabic. It runs in a browser with nothing to install.

Does it really replace a separate accounting package?

For a rental office, yes. The ledger is a real double-entry system with 31 accounts, 32 voucher templates, eight financial reports, period locking, journal reversal and an immutable audit log, and a dedicated accountant role keeps the books separate from operations. Everything exports to CSV, so your accountant can still work in their own tools. Our accounting page shows the exact journal for sixteen scenarios so they can judge it before you commit.

Which emirates does it cover?

All seven, equally — Dubai, Abu Dhabi, Sharjah, Ajman, Umm Al Quwain, Ras Al Khaimah and Fujairah. Emirate is a filter on every module, so a portfolio spread across several emirates behaves normally. The official tenancy contract auto-fill currently covers the Dubai Land Department form.

Is the Arabic real, or a machine translation?

Real. Interface, forms, dashboards, filters, emails, reports and generated PDFs are all written in Arabic, with correct right-to-left layout and proper glyph shaping in PDFs. Each user picks their own language, and each landlord receives their monthly statement in the language they prefer.

How long does it take to move off spreadsheets?

Usually one day. Six bulk importers load landlords, buildings, units, tenants, contracts and cheques from CSV, and relationships are matched by name and contract number rather than by you retyping them. During the Expansion Programme we carry out the migration for you.

Can we get our data back out?

Yes, at any time and without asking us. Every listing page exports to CSV, all eight financial reports export to CSV, and the raw journal ledger exports in full. Nothing is held in a format only readable inside PropertyDesk.
